Important Changes for the 2011-2013 Awards Year

 

NGC & PR AWARD CHANGES

National Garden Clubs, Inc. (NGC) and Pacific Region (PR) have changed their award requirements. Because of their changes, CGCI has changed some of its award requirements.
 
In addition to all CGCI requirements, an NGC award application form must now be submitted for all CGCI awards which are eligible to go on to NGC. The NGC award application form can be found on the CGCI website under “Awards” and “Forms. or click here.  The NGC award application form has a 3 page limit, using only the front of the page. Binders and vinyl sheet protectors are no longer required or allowed for most NGC and PR Awards. Applications will not be returned by NGC (publications (books) and CD/DVD will be returned).
 
The above also applies to those CGCI awards eligible for PR awards – but use the PR award application form. If an award is eligible to go on to both NGC and PR, use the NGC award application form. The PR award application form is being updated by PR.  As soon as it is finished, you will be able to find it on the CGCI website or the PR website.
 
The new NGC and PR application forms will ask the following questions, which the applicant must answer using three pages (front side of paper only):
·         New project: beginning date, completion date. 
·         Brief summary and objectives of project.
·         Involvement of club members, other organizations, etc. 
·         Project expenses and means of funding. 
·         Continuing involvement, follow-up, maintenance. 
Attach or insert photos, digital photos and/or landscape plan (does not need to be professionally drawn). Exceptions
·         Yearbooks—complete the necessary information on the NGC award application form. Do not answer the questions. Firmly clip 2 copies of the completed application form to the inside front cover. 
·         Publicity Press Books—complete the necessary information on the NGC award application form. Do not answer the questions. Prepare a book of evidence. No limit on number of pages.
·         Flower Show Achievement Awards—NGC Award Application Form should not be used. Complete an NGC Flower Show Achievement Award Application Form. A book of evidence should be prepared (10 pages (20 surfaces front & back)).

If an NGC/PR application form is not attached to a CGCI entry which is eligible to go on to NGC/PR for further judging, the judging chairman will contact the applicant and request that one be promptly remitted. If no NGC/PR application form is received and entry wins a first place in CGCI judging, second place winner (if of blue ribbon quality) will be forwarded to NGC/PR for further competition.
 
N.B. Most CGCI awards still require books of evidence, binders, plastic page protectors, etc. (just like in prior years).

Q:  My club is considering participating in the awards process.  How can we do this?

A:  If your club (or someone in your club) has never participated in the awards process, enter!  Just follow the simple steps below.  And the Awards Chairman will be happy to help you!

Step 1 - Review CGCI Awards Manual  (which can be found on the CGCI website and in the Awards Section of the 2011-2012Yearbook, Manual & Roster (all club presidents receive copies of the Yearbook in the fall).  Check any awards which may be suitable for your club or individual club members and  review the  Evaluation Forms which are posted on the CGCI website (to see exact requirements - and what the judges will be looking for when evaluating your entry).

Step 2 - Proper planning

  •  Photographs:   What is required?  What would be helpful?  Assign someone to take the photos you will need or take them yourself.
  • Handouts, flyers, brochures and booklets, etc.:  Make sure clean samples are put aside for use in the book of evidence.
  • Publicity:  Invite the press to your event; give writers a handout with accurate information to create the article correctly.   Clip and save the articles so you will have them when needed for the book of evidence.
  • Collect all items as you go along so that, when it is time to prepare the book of evidence, you will have everything you need.
Step 3 - Create and submit your entry. 
  • Follow general rules in the Awawrds Manual and the guidelines on the evaluation forms. 
  • Mail your entry to the appropriate judging chairman by the deadline. 

Step 4 - Remember the two deadlines - December 1, 2011 and January 10, 2012 - If entries are received late, points will be deducted.  And send to the correct judging chairman.
